The information we collect

Depending on how you interact with us, we may collect:

  • information you give us when you contact us or make an enquiry, such as your name, email address and the details of your message;
  • your GP's name and surgery, payment details, notes about your sessions, letters, emails and messages between us, information about how you were referred and your name and contact details;
  • for the people we work with, notes and records relating to the support we provide.

How we use your information, and our lawful basis

Data protection law requires us to have a lawful basis for using your information. Our bases are:

  • to respond to your enquiry — our legitimate interest in answering people who contact us;
  • to provide our services to you — to carry out our agreement with you as a client;
  • to keep proper records — our legitimate interest in running the practice responsibly, and, for some records, our legal obligations, for example tax;

Health information and other sensitive data

Some of the information we hold — particularly notes relating to the support we provide — is health information. The law treats this as a special category of data that needs extra protection. We process it on the basis of your explicit consent, which you give when you choose to work with us, and which you can withdraw at any time.

Who else handles your information

We use trusted services to help us run the practice, and we share your information with them only as far as they need it. They help us with:

Calendly
taking and managing appointment bookings
Zoom
running online video sessions
Google Mail
sending and receiving email

We do not sell your information, and we do not share it for anyone else’s marketing.

Where your information is held

Some of the services we use are based outside the UK, which means your information may be transferred outside the UK. This applies to: Calendly, Zoom and Google Mail. Where information is transferred outside the UK, the law requires it to be protected by appropriate safeguards, and we use providers that have those safeguards in place.

How long we keep your information

We keep your information only as long as we need it:

  • client records: 7 years after last contact;
  • billing and financial records: 6 years;
  • enquiries that do not lead to us working together: a short period, then deleted.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, or to restrict or object to how we use it, in certain circumstances;
  • ask us to transfer your information to another provider, in certain circumstances; and
  • withdraw your consent at any time, where we rely on consent.
